The Quality Control Administrative Assistant is responsible for classifying, analyzing, and managing data collected from field projects. This role involves processing photos, creating professional PDF reports, archiving data in cloud-based platforms, and ensuring the accuracy, quality, and compliance of all information submitted. The position requires excellent organizational skills, attention to detail, and strong written and verbal communication skills in both English and French.

Work Schedule

  • Day shift, Monday to Friday (flexible schedule)
  • 40 hours per week

Key Responsibilities

  • Classify and organize incoming field reports, including photos, technical files, and supporting documentation.
  • Process, sort, and format photos and other visual content for inclusion in reports.
  • Manage project data and documentation using the organization's cloud-based platforms (e.g., Google Drive, SharePoint, etc.).
  • Prepare and finalize professional-quality PDF reports using established templates.
  • Verify the accuracy, completeness, and quality of data before distribution to internal and external clients.
  • Collaborate with project managers, technicians, and field teams to ensure proper tracking and documentation of project information.
  • Contribute to the continuous improvement of reporting processes and quality control procedures.
  • Provide administrative and documentation support to project teams as required.

Qualifications

  • College diploma, vocational diploma, or equivalent education in a relevant field (office administration, business administration, graphic design, civil engineering technology, or related discipline).
  • Proficiency with Microsoft Office, Adobe Acrobat, and other standard office software.
  • Experience using cloud storage and collaboration platforms such as Google Drive, OneDrive, or similar.
  • Excellent written and spoken communication skills in both English and French.
  • Strong organizational skills, attention to detail, and ability to work independently.
  • Ability to manage multiple projects simultaneously while meeting tight deadlines.
