Senior Housing Manager

Location: Remote

The Senior Housing Manager oversees all aspects of housing management for conferences and events, ensuring the seamless coordination of accommodations for attendees and guests. This role requires a strong attention to detail, excellent communication skills, and the ability to work collaboratively with various stakeholders. The Senior Housing Manager leads a team of housing professionals, coordinating their work, ensuring their growth, and fostering a positive and productive work environment. This role is crucial in managing the team's performance, providing guidance and support, and driving the department's success through effective leadership and strategic planning. The Senior Housing Manager is also an autonomous professional who can implement the industry’s best practices and be a valuable resource to senior executives.

But WHAT will you be doing?

1. Project Management:

  • Ensure that all projects are delivered on time, within scope, and within budget.
  • Develop and manage the housing budget, including forecasting and tracking Showcare and client-related revenue and expenses.
  • Prepare production timelines and direct the internal team to ensure efficient and timely execution of tasks using Showcare methodology.

2. Client and Stakeholder Management:

  • Act as the main contact for clients and the main liaison with assigned hotel partners and the Showcare internal team.
  • Collaborate with conference organizers, vendors, and other stakeholders to ensure housing needs align with overall event goals.
  • Communicate and distribute information and requirements to the internal team, keeping clients and the internal team on track and informed.
  • Participate in sales presentations.

3. Team and Department Management:

  • Manage and lead the housing team, providing guidance, support, and professional development opportunities.
  • Delegate tasks and responsibilities effectively, ensuring the team operates efficiently and meets objectives.
  • Drive departmental initiatives and projects to enhance housing services and optimize performance.

4. Data Analysis and Management:

  • Review historical data to add or reduce room inventory.
  • Analyze trends and make recommendations to optimize hotel penetration and prevent attrition penalties.
  • Provide recommendations throughout the course of events, along with a recommendation summary report at the end of an event.

5. Database Build & Inventory Management:

  • Configure hotel booking site using hotel contracts.
  • Create room blocks and allocate hotel inventory.
  • Create hotel matrix based on contracted room blocks.
  • Create all hotel correspondence within the database platform.
  • Create incentive campaigns to increase pick-up while maintaining the best user experience.
  • Actively verify inventory to ensure sufficient availability.
  • Ensure accuracy and timeliness of all housing-related communications and documentation.

6. Hotel Contract & Reservation/Rooming List Management:

  • Negotiate hotel contracts with favorable terms/conditions and prepare contract addendums.
  • Manage individual and group reservations; ensure accurate billing information.
  • Manage rooming lists from clients and VIP requests; ensure accurate billing information.
  • Ensure rooming lists are accurate and sent to hotels/clients in a timely manner.

7. Financial Management:

  • Maximize potential to earn complimentary room nights and hotel incentives based on hotel contracts.
  • Responsible for reaching or surpassing financial goals set for the contract (hotel commission; rebates, reservations fees etc).
  • Identify cost-saving opportunities.

8. Reporting, Compliance and Risk Management:

  • Ensure compliance with all relevant regulations and industry standards related to housing management.
  • Create client reports and ensure accuracy.
  • Mitigate risks related to housing, such as attrition, overbooking, cancellations, and security issues.

9. Event Execution and Travel:

  • Travel for pre-event, post-event, client visits, site visits, and lead events onsite as required.
  • Perform onsite hotel audits when required.
  • Review master billing provided by hotels is accurate before clients provide payment.

10. Other Responsibilities:

  • Ability to work evenings and weekends when required.
  • Prepared to travel mainly to the US and Canada, with the possibility of international travel, up to 15-20% of the year.

  • 5 to 10 years of experience in housing management for conferences;
  • Knowledge of hotel industry practices and trends;
  • Available for travel.
